How Billboard Agent works
What does Billboard Agent do?
It reads buyer inquiries, identifies the brief, checks the operator's inventory and active holds, applies pricing rules, recommends suitable boards and prepares a response for approval.
Does it work with static and digital billboards?
Yes. The inventory record supports static and digital faces. Each format follows its own availability, pricing, production and campaign rules.
Does it replace my inventory system?
No. Inventory can start with a CSV or Excel import, and Billboard Agent can generate write-back files for the operator's existing record.
Can I test it before connecting my data?
Yes. The public demo uses fictional inventory and pricing. It does not send anything to a buyer or reserve real inventory.
Sending and approval
Does the agent send emails without me?
Only when you allow it. Most operators begin with every reply requiring approval. You can later allow specific types of replies to send automatically, within the limits you set.
What does the advertiser see?
A reply from your own address, in your own voice, with your boards and your prices.
Do I have to reply from my desk?
No. Deals come to your phone and you approve, counter or decline from there.
How quickly does a reply go out?
As soon as the agent has a priced answer. If it is set to wait for you, it goes the moment you approve.
Can I change my mind after a reply goes out?
Yes. Quotes and holds both carry an expiration date, and you can counter, decline or release a hold at any point before the deal is accepted.
What happens if the AI service goes down?
The workflow falls back to a draft for a person rather than sending an unchecked answer. The inquiry remains recorded for the operator to handle.
Inventory and availability
Where does availability come from?
From the operator’s inventory record, bookings and active holds. The result carries a confidence level because imported or manually maintained data can become stale. Lease and permit status are not currently part of the availability calculation.
Do I need new software for my inventory?
No. You can start with a CSV or Excel file. Its columns are mapped on import and the mapping is reused. A write-back file can carry booking updates into your existing record.
What if my sheet is a few days behind?
The agent tells you how sure it is rather than guessing yes. A face that has not been checked recently comes back with lower confidence, and you see that before you approve.
What is a hold?
The agent putting a face aside while a quote is live. It has an expiry and releases itself if the deal does not close.
Can two advertisers be sold the same face?
No. If two inquiries reach for the same face at the same time, one of them is refused.
Does the agent ever say yes when it is not sure?
No. It answers with how sure it is, and an uncertain face comes to you rather than being sold.
Do you keep a copy of my inventory sheet?
Billboard Agent stores the structured inventory records it needs to check boards, availability and pricing. Imported and uploaded files are stored in paths assigned to the operator that provided them.
Pricing and bookings
What sets the prices?
Your rules. Floors, seasonal rates, category restrictions, whatever you tell us in plain terms when we set you up. Every quote is checked against those rules before it goes out, and it cannot quote a price your rules did not produce.
Can the agent discount?
Only inside the rules you set. It never books below your floor, and it never invents a rate you have not given it.
Can I stop it selling particular boards?
Yes. A restriction is a rule like any other, and the agent treats a restricted face as unsellable.
Can I price differently by season, or by board?
Yes. Both are rules, and the agent applies whichever ones you have set.
What happens if an inquiry does not fit my rules?
It comes to you instead of being answered wrongly. The agent never invents a rule it was not given.
Setup, security and control
What do you need from me to start?
Three things: the mailbox the agent reads, your inventory sheet, and a working session to capture your floors and restrictions as your first rule set.
Which mailbox does it read?
Only the mailboxes and folders you approve. It never reads anything else in your inbox.
Can I set it back to drafts only?
Yes. Autonomy is a setting, and at its lowest every reply waits for you and nothing goes out on its own.
Who can see my data?
Operator records are separated at the database level with row-level security. Access depends on the signed-in role. Authorized platform staff can inspect operator records for support and can propose rule changes, but they cannot send on an operator’s behalf or directly edit a live rule set.
