Billboard Agent reads the inquiries in your inbox, checks your inventory, prices under your rules and prepares the reply. You stay in control of every deal.

The inquiry

An advertiser emails the address you already give out. The agent only reads the mailboxes you approve and turns the inquiry into a clear summary: where, when, budget and board type. Missing information is identified before pricing.

Availability

The agent checks your inventory, bookings and active holds to determine what is available. If the underlying information may be out of date, it shows an availability confidence level rather than guessing.

Pricing

Every suitable board is checked against your pricing rules, including card rates, floors, seasonal pricing and restrictions. You can see how each price was calculated.

The reply

The agent prepares a reply with the recommended boards and prices attached. Quoted boards can be placed on hold so the same space is not offered twice.

Your decision

The deal enters the decision queue. From a phone or computer, you can approve it, change the price, counter or decline it. Nothing is sent without approval unless you have explicitly allowed that response type to send automatically.

Booking and write-back

Once approved, the proposal becomes a booking. Where enabled, the buyer receives the next payment or booking step and the result is prepared for write-back to the operator's inventory record.

Answers based on your business

Buyers ask questions that are not answered by inventory and pricing alone: production deadlines, creative requirements, lighting, cancellations, posting dates and payment terms.

Billboard Agent answers from a library you control. You decide what the approved answer is, when it applies and whether the response requires your approval.

The agent does not invent company policy. If an approved answer is missing or uncertain, it sends the question to the operator.

After approval

Hold and booking

Approved actions can place a hold and convert an accepted proposal into a booking without offering the same face twice.

Payment and write-back

Where enabled, the next payment or booking step is initiated and a write-back file updates the operator’s existing record.

Expiration and follow-up

Holds and quotes carry expiration dates and release when they lapse. Other follow-up remains under operator control unless a specific workflow is enabled.
